Main Duties and Responsibilities:
(duties include, but are not limited to)
- Administers the FMLA process for all BBH team members.
- Requests, collects and reviews required documentation.
- Issues determination of approved / not approved within required guidelines.
- Sends FMLA related correspondence.
- Maintains FMLA confidentiality in accordance with HIPPA.
- Tracks FMLA time off.
- Submits documentation and application for Short Term and/or Long-Term Disability coverage when applicable.
- Maintains communication with employee and their supervisor regarding anticipated return to work date.
- Ensures that BBH remains consistent with our FMLA practices and is in compliance with all applicable federal and state guidelines.
- Administers ADA process.
- Evaluates requests for accommodations under the Americans with Disabilities Act and determines if the request meets the standard for reasonable accommodation.
- Drafts and distributes relative correspondence.
- Maintains communication with employee and supervisor regarding the status, anticipated time off, return, requested / approved accommodations, etc.
- Ensures that BBH remains consistent with our FMLA practices and is in compliance with all applicable federal and state guidelines.
- Manages Workers’ Compensation Process.
- Administers Workers' compensation claims, maintains OSHA and safety logs, follows through with carriers, employees and management, supporting return to work.
- Serves as primary contact for all work related injuries.
- Collects first report of injury and witness statements.
- Ensures all claims are filed timely (within 3 days);
- Coordinates light duty for injured workers / return to work.
- Schedules quarterly claims review meetings with w/c carrier.
- Coordinates with payroll to provide response to requests for wage statements.
- Serves as primary contact for claims adjuster, and other providers.
- Completes the annual OSHA 300/301
- Serves as subject matter expert for HRIS.
- Conducts training on the use of HRIS for employees and leaders. Includes new hire orientation presentations.
- Maintains system configuration and updates.
- Develops and creates workflows to aide in work efficiencies.
- Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information.
- Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries.
- Collaborates with benefit brokers as needed related to insurance programs including employee benefits, workers' compensation, certificate of liability, etc.
- Coordinates annual open-enrollment programs and processes in collaboration with benefit brokers and HR leaders.
- Responds to 403(b) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts. Manages the annual catch-up contribution enrollment.
- Collaborates with payroll on the preparation and submits data files and internal reporting for 403(b) Plans’ Form 5500 filings, annual compliance testing and year-end data collection.
- Prepares accurate 403(b) compliance materials in a timely manner including but not limited to: Form 5500 filings, Summary Annual Reports and Summary Plan Descriptions.
- Performs routine tasks required to administer and execute human resource programs.
- Assists with and handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
- Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
- Generate/compile various data requests and reports.
- Performs quality checks of benefits-related data.
- Assist Human Resources Manager with daily needs and/or special projects, as requested.
- Performs other duties as assigned.
Requirements:
- Associate's Degree in HR or related field, but experience and/or other training, certification may be substituted for the education.
- Bachelor's Degree preferred in Business, Human Resources, or related field.
- Minimum of 1 year of Human Resources experience directly related to Benefit Administration.
- Experience using Human Resources and Benefits Information systems (Paycom Preferred).
- Excellent communication and organizational skills.
- Proficient with Microsoft Office Suite or related software.
- Thorough knowledge of employment related laws and regulations.
- Ability to prioritize tasks and to delegate them when appropriate.
- Strong analytical and problem-solving skills.
- Valid driver's license and proof of insurance.
